Reconcile a bank feed deposit with an invoice or invoices

Apply a bank feed deposit to 1 invoice

When a deposit transaction for an invoice you created in Flare shows up in an auto-downloaded bank feed (or imported bank feed) and you want to apply the deposit to the invoice and reconcile the transaction, do the following:

  1. Click "Bank" in Flare's left menu (1 below).

  2. Click "bank balance" in the bank or financial account that contains the downloaded deposit (2 below). Doing so takes you to the bank reconciliation view for that financial account. Downloaded bank transactions appear on the left of the screen. Flare book transactions appear on the right.

  3. In the Bank Transactions table, click the checkbox to the left of the deposit you'd like to apply to an invoice (3 below). Click the "Category" dropdown menu (4) and select "Accounts Receivable" as the transaction category (5).

  4. Click "Add New" (6 below). The deposit transaction will be added to the corresponding Flare book account.

  5. Close the reconciliation window. Click the close ("X") button (7 below). The Flare book transactions for the bank/financial account will be displayed. Find the transaction you just added to the book account.

  6. Check the checkbox to the left of the transaction (8 below) and click the Edit pencil icon above the transactions table (9). The "Edit Deposit" form will be displayed.

  7. In the "Invoice" field click "Select Invoice" (10 below). A list of unpaid invoices will be displayed in a modal window.

  8. Find the invoice that you want to apply the deposit and select it (11 below).

  9. Click the "Select" button (12 below).

  10. Click the "Save" button (13 below). The deposit has been applied to the selected invoice.

Apply a bank feed deposit to 2 or more invoices

When a deposit transaction for two or more invoices you created in Flare shows up in an auto-downloaded bank feed (or imported bank feed) and you want to apply the deposit to the invoices and reconcile the transaction, do the following:

  1. Click "Bank" in Flare's left menu (1 below).

  2. Click "bank balance" in the bank or financial account that contains the downloaded deposit (2 below). Doing so takes you to the bank reconciliation view for that financial account. Downloaded bank transactions appear on the left of the screen. Flare book transactions appear on the right.

  4. Click "Add New" (6 below). The deposit transaction will be added to the corresponding Flare book account.

  5. Close the reconciliation window. Click the close ("X") button (7 below). The Flare book transactions for the bank/financial account will be displayed. Find the transaction you just added to the book account.

  6. Select the checkbox to the left of the transaction (8 below) and click the Edit pencil icon above the transactions table (9). The "Edit Deposit" form will be displayed.

  7. In the Invoice field click "Select Invoice" (10 below).

  8. Find the first invoice you'd like to apply the deposit to (11 below). Make a note of the invoice balance or copy the invoice balance.

  9. Select "Accounts Receivable" as the Category and enter the invoice balance in the "Deposit Amount" field (13). Click "Add item" to add another invoice (14 below).

    Note that the total deposit and the original amount are displayed to help you keep track (circled below).

  10. Select the second invoice by clicking the "Invoice" field (as you did above). Click the "Category" field and choose "Accounts Receivable" and enter the deposit amount for the selected invoice (16 below).

  11. Double-check to ensure the Total Deposit is equal to the Original Amount of the deposit.

  12. Click the "Save" button.

    The deposit has now been split between two invoices.


      A deposit can be a partial payment of an invoice. The Flare system will keep track of all deposits applied to invoices.
